Reporting Procedure – Allround The Agency Jobboard

Scope: This reporting procedure applies to all reports concerning job vacancies, profiles and posts on the Job Board within Allround The Agency’s online learning environment.
Have you spotted a job vacancy, profile or post on our Jobboard that you think is inappropriate? This reporting procedure explains how you can easily let us know and what we will do next.
1. When should you report something?
Report a job vacancy, profile or post if you think it involves:
- Discrimination or hateful content
- For example, requirements or text based on race, gender, age, religion, sexual orientation or health that are not permitted.
- Misleading or incorrect information
- For example, unrealistic promises, a job role, rate of pay or contract type that has been misrepresented.
- Infringement of third-party rights
- For example, the use of text, photos or logos without permission (copyright), or the sharing of others’ sensitive personal data.
- Fraud or illegal activities
- For example, job vacancies that actually conceal another, unauthorised activity or incite actions contrary to the law.

2. How do you make a report?
There are two ways to report an issue:
- By email
Send an email to: jobboard@allroundtheagency.com - Via a dedicated reporting form
If we provide a report button or form within the online learning environment, you can use that.
Please ensure your report includes the following:
- a clear link or description of the job vacancy, profile or post;
- why you think it is inappropriate (briefly, but specifically);
- what you expect from us (e.g. to check, amend or remove it);
- your name and email address, so that we can contact you.
3. What happens after you report an issue?
3.1 Confirmation of receipt
We will send you a brief confirmation that we have received your report as soon as possible, and within 7 working days at the latest.
3.2 Assessment
We will assess your report carefully. In doing so, we will consider:
- the content of the reported job vacancy, profile or post;
- the Jobboard Terms and Conditions and the employer and freelancer policies;
- applicable laws and regulations;
- any explanation provided by the user who posted the content (if we ask them for a response).
4. What action can we take?
Based on the assessment, we may:
- Amend content
- For example, correcting minor inaccuracies or removing sensitive data.
- Hide or remove content
- If the job vacancy, profile or message clearly contravenes our rules or the law.
- Warn the user
- In the case of a first or minor breach, we usually issue a clear warning first.
- Restrict or terminate access
- In the case of repeated or serious breaches, we may restrict a user’s access to the job board (temporarily or permanently).
We will let you know – insofar as this is possible and permitted – what action we are taking in response to your report.
5. Urgent reports
If the situation is one that you consider urgent, for example:
- a job vacancy or post containing serious discrimination or threats;
- a clear attempt at fraud or scams;
- an immediate safety issue;
please clearly state in your report that it is an EMERGENCY.
If we provide a telephone number for emergency reports, we will state this on the Job Board. In situations where there is an immediate threat to life, we always advise you to call the emergency services as well.
6. What do we expect from you as a reporter?
- That you describe as specifically as possible what you believe to be wrong.
- That you make reports in good faith, i.e. not to slander someone without reason.
- That you accept that we may sometimes – following an assessment – decide to leave content up (for the time being), with an explanation.
7. Relationship with other documents
This reporting procedure forms part of:
- the Job Board Terms and Conditions of Allround The Agency and Freelancer Policy;
- the Moderation Protocol for the Job Board.
Together, these documents provide the framework for the safe, fair and professional use of the Job Board within our online learning environment.
